Registering Coaches on the LHSAA Member Site

- Log on to the LHSAA Member Site using the assigned username and password.
- Navigate to the “Coaches” tab on the top ribbon.
- Review and update information for existing coaches.
- Remove coaches no longer associated with the school.
- Add new coaches to the roster.
- Enter class assignments for faculty coaches by October 15.

Registering Coaches
A principal is responsible for registering coaches on the LHSAA Member Site.
- Log on to the LHSAA Member Site with assigned username and password.
(Note: Username and passwords are adminstered by the school’s principal.) - Click on the tab labeled “Coaches” on the ribbon at the top of the page.
- The school’s roster of coaches will appear on the page that opens.
- If the coach will be at the school for the current year, click the “Edit” button, and review and update all information for the particular coach. Be sure the email address is valid and working. All communication from the LHSAA and LHSCA will go the email address provided.
- If the coach is no longer at the school, click the “Remove” button. If coaches who are no longer at the school are not removed, they will appear in the Coaches’ Directory as a coach at the last entered school.
- If the coach is new to the school, click the “Add” button to the right and complete all requested data on the information page.
- Class assignments for all faculty coaches should be entered on the LHSAA member site by October 15.
Coaching Cards
- For each coach the school wishes to obtain a card for, click the “Edit” button for the respective coach and answer “Yes” to the Coaches Association question, “Will this coach be a member of the Coaches Association for the current school year?” Marking this question “Yes” will make the coach appear on the invoice that will automatically generate on the “Confirm” page.
- After completing Step 1, go to the “Confirm” page, scroll to the bottom of the page and print the invoice that appears. If a coach’s name does not appear, check to be sure “Yes” has been answered to the Coaches’ Association question.
- Send a copy of the invoice and a check made payable to the LHSCA in the appropreiate amount to: 12720 Old Hammond Highway, Baton Rouge, LA 70816.
- Upon reciept of invoice and check, cards will be issued. (Note: Principals and assistant principals do not pay for their cards. These cards are automatically sent when the coaches’ cards for a school are printed.)
- Starting in Fall 2016 we will have electronic coaching cards. All coaches will be sent a Digital Membership Card. CLICK HERE for instructions for downloading the electronic card to your phone.

What are coaching cards and how are they used? — Life Cycle Engineering
Coaching cards are a critical component of a comprehensive change management program. They are used to make sure that the change that an organization has put in place is actually working as planned. Using coaching cards creates a non-threatening opportunity to meet with those people living with the change in their daily lives and help them to be successful. Coaching cards were designed by project managers who had seen multiple, big organizational changes fade after a few weeks or months. Coaching cards alone will not guarantee a perfect change, but they are an essential part of the change after installation and training are over and new behaviors are expected. Long-term sustainability can be managed with a cyclical approach to using the coaching cards and solving the issues discovered from the last round of cards.
Never underestimate the importance of keeping the leadership engaged while driving new behaviors and breaking down any barriers that are being experienced as new processes take hold. Coaching cards provide the right reason to engage employees while providing invaluable data regarding how the organization really works. Leaders should randomly go out and conduct coaching cards themselves and see what they learn about the change at hand.
Coaching cards analyze three perspectives of a position: Activities, Reports & Documents, and Results per position, not per person. The intent of the coaching card is to reveal the hardships and successes brought on by changing toward the new desired norm. It is typical that over 80% of the hardships identified will be issues for the leaders to resolve; less than 20% will be because the employees are resisting the change. By designing the cards to reflect positions vs. individuals, the interview is helpful for the employee instead of being intimidating. At one of the earliest implementations of the coaching card process, the employees were given the coaching cards one day before the leaders came around to ask the questions. The employees were relieved to read the questions and see the expectations written in such a concise manner. The most common reaction was “This is great — now I finally understand exactly what I am supposed to do and what items are the most important for me to focus on.”
By using the coaching card process, all of the new changes in your organization can be observed in action. Any deviation from the intended outcome will be identified and managed. Without this process in place, people could continue using old programs or processes without being detected and erode the overall success. These cards provide trustworthy data and reduce the subjective decisions regarding how well the implementation is being accepted. No group will be able to under-deliver without the local managers knowing about the performance issues in advance.
Here’s an example of how the process works. An organization was trying to change the Maintenance Craftsperson position. The craftsperson reported that he was giving written feedback about how each work order was actually completed but the people who were supposed to document those notes were not doing their part. This was confirmed when the work order had to be executed again and the feedback that was previously provided was not evident on the next round of work orders. From that comment on the coaching card, the leadership group took action. The business process for completing work orders was reviewed to determine where the breakdown was occurring and which positions in the process had a role. The people who worked in these other positions were called together to understand their hurdles in getting the process to work and plans were made to rework the whole business process. Over and over again issues were documented on the coaching cards and the leadership facilitated solutions. This is the power of the information resulting from the coaching cards. No implementation should fail if leaders will listen to and act on the results of the cards. Dozens of issues usually pop up after a big organizational change. A team of leaders should review summarized results and prioritize which issues to tackle first: Then they should act on the plans, followed by another round of coaching cards to measure progress.
The following is a sample of a coaching card for a maintenance planner/scheduler. The questions represent all of the aspects of the change this organization was going through to complete their program. This list does not represent every single task this position needs to perform, but it includes everything that the people in this position need to do to fulfill this change. The type of change is not important. It doesn’t matter if the organization is changing their maintenance process or if they are implementing new accounting software or even merging two companies together. Any significant change that requires employees to do things differently is a perfect time to utilize coaching cards to ensure the change is embedded in your culture and has become the new norm.

MAJOR UPDATE FOR 2021-2022 MEMBERSHIP YEAR:
As an association it has come to our attention that many of our members, THSCA sponsors, and Texas school administrators operate under that assumption that our membership term starts over each year in July, in conjunction with our annual coaching school and convention. This makes sense, as the vast majority of our members renew membership for the upcoming year at the same time they register for coaching school, and in the past you have received your new membership card at the convention. We have decided it is the most logical decision for us to re-align the THSCA membership year to run from July 1st – June 30th of the following year moving forward. This will require several updates to our current operating procedures and we ask for your patience as we make this transition.
Main reasons for adjusting to July 1st instead of the original September 1st start date:
The THSCA membership year re-alignment will more closely reflect the UIL calendar, most school academic year calendars, many of your school budget renewals, and the THSCA renewal calendar we use for our sponsors, exhibitors and member service partner companies.
It is our intention to continue providing members the opportunity to download the membership card from the member services portal moving forward. This digital card is compliant with no-contact protocols set forth by most event venues. As members have logged in to download their membership card, it has also helped us maintain a more accurate database of contact information and school affiliations for member coaches so we can better serve you. The re-alignment of the membership year will allow us to release the NEW member card for download beginning July 1st, granting coaches immediate access to proof of membership BEFORE they enter the new school year! We plan to have THSCA staff available at coaching school to assist coaches to access their THSCA member portal account, download and save their member card to a mobile device, and/or print a paper copy of their card if they prefer.
We have initiated discussions to re-align the Professional Liability Insurance policy coverage to the new July 1st start date. The first step in this process is to notify you of the change to the membership cycle. We will follow up with further information and a timeline for the insurance policy coverage transition when we receive those procedures from the provider. We certainly believe that offering member coaches liability insurance coverage that begins in July rather than September, makes the most sense given the summer time investment that is now required of most Texas coaches.

VOTING, AWARDS and RECOGNITION
PROFESSIONAL Members (coaches of Texas secondary schools and athletic directors in the public school system of the UIL who are actively coaching) are eligible to vote in all Association elections, and nominate coaches for Hall of Honor, Board of Directors, Athletic Advisory Committees and other awards.
Academic All-State Teams: Eligibility of senior athletes to be nominated for Academic All-State teams, provided the head coach of sport is a member of the THSCA as of October 15th, each year. THSCA Academic All-State Teams are published in Texas Coach and are posted on the THSCA website.
State Championship Ring: Head Coaches of UIL sports who are members in good standing as of October 15th are eligible to receive a THSCA State Championship Ring from the Balfour Company. Eligible coaches are recognized each year at the Balfour Hall of Honor Banquet and presented with their rings. This includes state champions in both boys and girls sports.
25-Year Plaques:Those members who have completed 25 years of membership in the THSCA are honored with a commemorative plaque for their loyalty.

Coaches Use Laminated Game Outlines for Any Situation
When Baltimore Ravens Coach Brian Billick takes over the play-calling Sunday against the New Orleans Saints, he will carry with him the football equivalent of a cheat sheet.
On two double-sided, 11-by-14-inch laminated pages, he will find lists printed in small type that feature every play he could call, and a whole lot more.
Billick can review clock-management situations to remind him when his offense can safely take a knee. He can peruse a list of the officials’ calls that can and cannot be challenged. There is a formula for when to go for a 2-point conversion. A spot is even reserved for the names of the referees working the game, so Billick can act as if he remembers them well.
Coaches have long carried notes about plays they like, but in recent years the National Football League has embraced the outsized play card, making the computer-generated, weather-resistant accessory as common on the sideline as Gatorade and ankle tape. From the pages of plays that coaches once stuffed in their pockets to the card that a secretary for the Cowboys’ Tom Landry wrote by hand, the stigma of a coach referring to a play card to call the offense is gone, taking with it much of the freewheeling creativity that fans like to imagine enlivening a huddle.
Some traditionalists are not thrilled.
“They drive me nuts,” said Ernie Accorsi, the general manager of the Giants. “They remind me of the menu at Denny’s.”
They offer about as many options. The increasing complexity of the N.F.L., with its constant substitutions and specialization of plays, is reflected best in the cards that coaches now clutch. They bear a sorting of more than 100 plays, organized for every situation a team could face.
And in the era of the television close-up, the once-anonymous play cards have received their star turn. Coaches use them to shield their faces from a camera or an eagle-eyed opposing coach who might be trying to decipher the play call by reading lips. Paranoid? Perhaps. But Accorsi remembers when the Baltimore Colts won a game to clinch a division title in 1977 because an assistant who had coached at Gallaudet University, a college for deaf students, was able to read the lips of the opposing defensive coordinator. He alerted the team to an oncoming blitz.
Still, Accorsi said the best offensive coordinator he was ever around, Lindy Infante in Cleveland, never carried a big card.
The point of the cards is to avoid the possibility that in the cacophony of the sideline, as the clock ticks down, a coach cannot summon a play he spent the week preparing. The card is structured for ease, and each coach shuffles his a bit differently.
In a normal game, the offense will get about 65 plays. To cover all possibilities, the Ravens will enter their game considering 100 to 115 different plays. Billick said some teams prepared 300 plays.
“Most of the cards are color-coded for quick recognition,” said Dick Vermeil, the former coach of the Eagles, the Rams and the Chiefs who is now a broadcaster for the NFL Network. “Things happen so fast.”
The guts of the Ravens’ card are the plays that the team will have practiced during the week and that coaches will have mulled over in meetings. They will be organized in every conceivable fashion, under different headings: base run, play-action, quicks (for quick passes that quarterbacks make after a short drop back), two-minute, four-minute. They are listed, the coaches hope, in something close to the order in which they will be called.
“We’ve all become card coaches,” Billick said. “That used to be a derogatory term, but defenses are so much more complex, it’s such a chess game of matching up. You need the help. It’s compartmentalized. It’s Chinese food takeout. One from Column A, one from Column B.”

Even in a relatively uneventful game, it is rare that a coach will not refer to his play card.
Vermeil still has, shoved in a drawer, the old 8½-by-11-inch forms he would fill out in pencil with the hieroglyphics of the game. Those were Vermeil’s first play cards while he was coaching at U.C.L.A.
But during one of the best games Vermeil ever called the 1976 Rose Bowl, in which his Bruins upset the top-ranked Ohio State Buckeyes he never looked at the play card. He said he called the offensive plays that day by feel, his intuition rendering the memory device unnecessary. For one afternoon, Vermeil delivered a rebuff to the card coach.
A few days after that Rose Bowl, Vermeil accepted a job as the head coach of the Eagles. Just like the players themselves, the cards got bigger over time.
Ron Wolf, the former general manager of the Green Bay Packers, said coaches have always carried notes with them Joe Gibbs said he carried his on a clipboard but the first full-size play card he remembers seeing was Mike Holmgren’s at Green Bay in 1992.
“His wasn’t like they are nowadays,” Wolf said. “It was large. But these things they have nowadays are huge.”
On the Ravens’ cards, runs are in red ink, passes are in black and screens are in green. There are sections for second down and short yardage, second and medium and second and long. There are sections of plays for when the team is backed up deep in its territory, in the open field or in the red zone.
On one side of the card, plays are sorted by the protections for the offensive line. So if the defense is pressuring the quarterback, the coach can look for plays to be run with extra blockers. On another side, the plays are organized by the personnel groupings the team uses two tights ends or three wide receivers.
“Let’s say we go in and have a smattering of two tight ends and you run a couple of plays and they hit,” Billick said. “For whatever reason, this personnel grouping is kicking them, so I go to my personnel grouping page to see what else we have.”
Computers have caused the proliferation of detail. Computer analysis can tell coaches that the offense is likely to be in a third-and-1 situation in the open field once a game, Billick said, so coaches know to limit preparation to two runs, a pass and a deep pass for that situation.
But the intuition that guided Vermeil at the Rose Bowl is still in use. When Billick was the offensive coordinator for the Vikings, Dennis Green, then the head coach, wanted 13 runs in the base-run category.
“That was just his number,” Billick said. “If we had 12 runs up, he’d come in and go, ‘It looks a little short.’ If we had 14, it was, ‘Looks a little heavy.’ I don’t think he sat there and counted. That was the number that looked right.”
With the Ravens coming off their bye week, Billick will return to calling the plays after having just fired offensive coordinator Jim Fassel.
No matter how many plays are on the card, a coach will occasionally call something out of nowhere, without it being on the card. It happens a few times a season. But when it does, Billick said, coaches ask themselves a question: If we like that play so much, why is it not on the card?
“You have to fight the tendency to panic and go outside the box,” Billick said. “But the days of drawing it up in the dirt are over.”
